Romance in CNY – Event Safety & Conduct Policy

Romance in CNY is committed to maintaining a safe, welcoming, and respectful environment for all authors, vendors, volunteers, guests, and attendees. By attending this event, all participants agree to follow the guidelines below.


1. Law Enforcement & Venue Access Statement

Romance in CNY is hosted at the Delta Hotels by Marriott Utica. The venue has provided the following statement regarding law enforcement access and guest privacy:

“The hotel has confirmed that it is not obligated to grant access to Immigration and Customs Enforcement (ICE) or to disclose any information about hotel guests or event attendees without proper legal documentation. In addition, the hotel requires a valid warrant or permit for any law enforcement entry into private guest areas or restricted event spaces.”

This policy reflects the venue’s commitment to guest privacy and lawful procedures.


2. Event Security

Event security is present to support a safe and positive experience for all attendees.

  • Security personnel are unarmed
  • Their primary role is general event safety and de-escalation
  • Security will serve as the first point of contact for concerns, conflicts, or disturbances

All issues—large or small—should be directed to event security immediately.

Security will assess each situation and determine when it is appropriate to involve:

  • Event leadership/host
  • Venue management (hotel staff)
  • Law enforcement, if necessary

Police will be contacted only when required for safety, legal compliance, or escalation beyond on-site resolution.


3. Code of Conduct: Consent & Personal Boundaries

Romance in CNY maintains a strict no non-consensual touch policy.

  • No one should touch another person without clear, mutual consent
  • This includes but is not limited to: hugs, physical contact for photos, or any form of unwanted interaction

If a violation of this policy is reported or observed:

  • Event staff/security will be notified immediately
  • The individual may be escorted from the event premises
  • Law enforcement may be contacted depending on severity

We take personal safety and bodily autonomy seriously and will act promptly to protect attendees.


4. Reporting Concerns

If you experience or witness any issue during the event:

  • Contact event security immediately
  • Do not attempt to handle escalations on your own
  • Security will coordinate the appropriate response and involve event leadership or venue staff as needed

5. Event Commitment

Romance in CNY is built on community, respect, and shared passion for books and storytelling. We expect all attendees to contribute to a safe, inclusive, and enjoyable environment for everyone.

Failure to comply with this policy may result in removal from the event without refund.
